The Cadillac Room Venue Coordinator

Part time position, 25 hours weekly

The Cadillac Room Venue Coordinator is responsible for overseeing contract staff by onboarding, training, and conducting regular meetings. The position includes managing scheduling, interacting with interested parties, giving tours, and organizing events. The role also encompasses communicating policies, coordinating with vendors, handling contracts and payments, ensuring venue cleanliness, updating social media, and performing various administrative tasks.

Desired Characteristics:

  • Strong Communication Skills: The candidate should possess excellent interpersonal and communication skills to effectively interact with contract staff, vendors, and clients, as well as to clearly communicate policies and decline requests that don’t align with those policies.
  • Organizational Abilities:
    The ideal candidate should have strong organizational skills to manage scheduling, coordinate with vendors, create event plans, and handle administrative tasks such as timekeeping, payroll, and supply ordering.
  • Attention to Detail: Attention to detail is crucial to ensure contracts and payments are processed accurately, event layouts meet client needs, the venue is clean and in good repair for each event, and social media accounts are updated with accurate information and timely responses to questions and reviews.

Skills Needed:

  • Event Planning and Management: The candidate should have experience in event planning and management, including developing event day plans, coordinating with vendors, and ensuring client satisfaction.
  • Administrative Skills:
    Proficiency in administrative tasks such as timekeeping, payroll processing, expense reporting, client contracts, invoicing, and supply ordering is necessary to efficiently manage the operational aspects of the role.
  • Communication and Customer Service: Strong communication and customer service skills are essential to interact with contract staff, clients, and community members as well as to maintain positive relationships and promptly address inquiries or concerns.
  • Social Media Management:
    Proficiency in social media is important to update accounts with engaging content, respond to questions and reviews, and leverage social media as a promotional tool for The Cadillac Room.
